Artist Alley Rules & Overview

BADGE(S):

Does that price include convention registration?

Convention Badges.  All artists and helpers for AnimeNEXT must have an AnimeNEXT badge.  One (1) badge is included with the purchase of the table, and additional badges for helpers may be purchased at the time of table purchase.  If you or your helpers have already purchased your badge, you do NOT have to purchase it at this point.

Specify in your Letter of Intent if you will need additional badges (up to 2 additional are allowed)

What is an Artist Alley badge, and how do I get one?

An Artist Alley Badge or an Exhibitor Badge is a modified version of the normal attendee badge given to artists and their helpers in order to have access to the Artist Alley during set up and closing times.

  • You will receive badges when you check at the Artist Alley table
  • Please remember to request the full number of badges you will need for your table when you are filling out your Artist Alley registration form
  • This badge acts as your badge for the full convention as well as Artist Alley.

Can I purchase my convention registration at the same time I purchase my Artist Alley table?

  • Yes, you can pay for both at the same time
  • Additionally, you may purchase up to two (2) extra Artist convention registrations for your group at the same discounted rate

If I have an Artist Alley Badge, do I still need a Convention badge/membership?

  • The Artist Alley Badge serves as your badge for the full convention (see previous entry).
  • This is special price con badge and in the event that you get a normal badge before you check in you may switch it out for the physical AA badge
  • If you miss your opportunity to get it at the special price, you must pay the normal rate for the weekend badge.
    NO EXCEPTIONS!!!

CLASSIFICATIONS:

Should I sign up as a Solo Artist, Studio or a Group?

Read the three definitions below and pick the one that best describes your situation. If you are a Solo Artist or Studio and wish to sell art for an Artist who will not be there—and you have their written permission—sign up as a Group.

Solo Artist:

  • An individual artist who creates and sells their own artwork
  • A Solo Artist would be listed in the program guide by name (or alias) or a business name (or Studio), if they have one

Studio:

  • A group of Artists who either collaborate to create artwork, or have formed a business together under a unique name to create art
  • A Studio would be listed under one name, no matter how many artists are involved

Group:

  • A collection of Individual Artists who have gotten together to share a table for the weekend
  • They can be listed individually, and are allowed to sell each others art

LIMITATIONS:

Is there a height or other limits on displays or table set-ups?

  • There is a height limit of 10’ or 12’ off the floor for displays
    • 10’ for regular (6ft) tables
    • 12’ for 10’x10′ booths
  • If you use the 14-inch cube displays it is equal to about 4 high
    • All table set-ups/displays must be sturdy and only occupy your own tabletop space
    • At no time are Free Standing Displays allowed to be set up in front or to the Side of a table
    • All Displays are to be on top of your table or behind your table (such as a backdrop setting) as long as it doesn’t interfere with the artists around you
    • If a display falls down or is deemed by Con Staff to be unsafe, you will be asked to take it down

LOGISTICS:

If I am not coming for the whole weekend can I still get a table?

  • No, tables are sold on a weekend basis (not per day)
  • If you do not check in by the specified time on Friday, then you forfeit your table without refund and it can be sold to someone on the waiting list

I have friends in the Artists’ Alley — can my table be next to theirs?

  • Group seating requests can be made on the Letter of Intent (LoI) as well as final form when you pay for your table
  • Please keep in mind that the location request must come from both artists

Can I have helpers at my table? Am I limited to a certain number of helpers?

  • Yes, you can have helpers at your table
  • You are allowed up to two (2) helpers for your table
  • Studios and groups can request to have more people, but there are no guarantees
  • All helpers must have an Artist Alley badge in order to get into the Artist Alley during set up and closing hours
  • Anyone who is sitting at a table without an Artist Alley badge will be asked to leave

Several friends and I are planning to share a table, is this all right?

  • If you wish to share your table with another artist or a group of artists, then you must sign up as a Group
  • This will then allow you to sell each other’s art during the weekend and be listed individually in the program guide.

RESTRICTIONS:

If a studio-mate and I register for separate tables as solo artists, are we allowed to have any of our “studio” art work for sale? Is any kind of overlap allowed (i.e. can we both sell prints of the same pieces at our individual tables)?

  • No, if you register as a solo artist, then it’s got to be your work, and your work alone
  • If you want to display each others work, or collaborations, then you need to register as a studio—and will be limited to one table
  • Otherwise it’s just an attempt to get around the table limits, which is against the rules

Can I get space in Both the Artist Alley and Dealer’s Room?

  • No, it is not fair to all the people who wish to get into the Artist Alley for someone to double book. Also, Fan Art is Not Allowed in the Dealer’s room. If you sell only original art, and feel that you could make enough selling in the Dealer’s room, you are welcome to try to get a table there. However, if you sell even one piece of Fan Art, you belong in the Artist Alley.

Can I sell another Artist’s artwork at my table if they are unable to attend?

  • If you signed up as a solo artist, you are only allowed to sell your own artwork
  • However, if you sign up as a studio or group, any of the studio/group’s art can be sold, even if some of the group can not attend

Can I still get the special rate for an Artist Convention Badge after I’ve paid for my table?

  • No, you cannot get the special rate once you have filled out and paid for your table
  • You get ONE CHANCE to buy Artist Convention badges at the special rate, and that is when you purchase your table. NO EXCEPTIONS!!!

SECURITY:

Can I leave my things at my table when I leave for the evening?

  • Yes, you can leave your displays/set up at your table as the Artist Alley is in a secured room
  • However, AnimeNEXT will not be responsible for lost or stolen items, so please take cash-boxes and other valuable items with you as a precaution

If I leave something in the AA room, will I be able to access it after the room is closed?

  • NO!!!
  • Once the Artist Alley has been locked for the night, no one, staff or otherwise is allowed inside
  • Please make sure to take any personal items (such as room keys, car keys, wallets, and IDs) with you once you leave for the evening

1. Convention Badges: 

All artists who wish to display and sell at AnimeNEXT Artist Alley must purchase a three (3) day Artist Alley convention badge to AnimeNEXT. Only one (1) badge is included in the purchase price of your artist alley table. If/When you purchase your table you will have the option to purchase an Artist Alley badge (convention badge at a special price) We highly recommend you purchase this special price badge. If you already purchased a badge you do not have to buy it at this point. Any questions regarding this can be sent to artistalley@animenext.org or registration@animenext.org

2. Check in:

The person who purchased a table in the AnimeNEXT Artist Alley, i.e. you filled out the form in your name, must ‘Check In’ at the Artist Alley staff table no later than 5pm on Friday.
*  Any tables that have not been checked in by 5pm on Friday will be forfeited and become available for purchase. YOU WILL NOT RECEIVE A REFUND FOR YOUR FORFEITED TABLE

3. Artist Alley Badges or Artist Convention Badges:

All Artists and their table helpers must receive and wear an Artist Alley badge OR All Artists and their helpers must wear an Artist Convention Badge in place of the Regular Convention Badge. There is a limit of 2 assistants for for each table, we ask that you please make your best effort to notify us of your badge needs DURING the registration process, or BEFORE the convention. An Artist Alley badge allows entrance to the Artist Alley during set up and closing times. Anyone found sitting at an Artist Alley table without an AA badge will be asked to leave–squatters will not be tolerated. Please note that while you are allowed 3 people, only 2 chairs will be provided.

4. Table Limits:

Individual Artists, Studios or Groups are limited to ONE Six (6) foot table or ONE 10’x10’ booth in the Artist Alley.

5. Double Booking:

Only ONE person per Studio/Group may submit a Letter of Intent to register for the Artist Alley. Anyone caught trying to get around the table limits by having friends or family also book tables will be given a warning, and then put on a watch list. A second attempt will earn a ban from the Artist Alley.

6. Age Requirement:

In order to purchase a table in the AnimeNEXT Artist Alley you must be 18 years of age at the time of check in at con.

7. Copyrights and Fanart:

Selling Official Artwork, Copyrighted Materials or Artwork of another Artist without written permission is not allowed. Fanart is allowed so long as it follows the guidelines below:
*  Fanart must not be a copy, either by hand or computer, of official artwork. This includes projects consisting of pixel or pixelized artwork.
*  Fanart must be an original in design, drawn in your own style with your own poses.
*  We do allow a limited amount of upcycled material. Upcycling is repurposing already existing items for a new use or design. For example, using pages from a Manga as part of a piece of artwork. If you use upcycled artwork we ask that you have proof available that the images are from an officially licensed item.  For example if using a sticker please include a picture of the sticker sheet it originated from, or if from a Manga a photo of the page before and after the image was removed.

8. Adult Material:

Adult Material is allowed, so long as it is clearly marked, covered and supervised at all times. You are not allowed to sell Adult Material to minors under the age of 18, and you are responsible for checking that your customers are indeed legally able to purchase said material. Adult Material is defined as anything sexually explicit, portraying sexual acts either heterosexual or homosexual and nudity. For Example: Nudity is considered showing any body part(s) that would be normally covered by a typical bathing suit–swim trunks/Speedo for males, bikini for females.

9. Merchandise:

This is a list of what is allowed and what isn’t allowed. Do not panic if you don’t see something on either list. If it’s not on either list, just email Artist Alley Staff and we’ll make a ruling on it. Please remember that the Artist Alley is for both 2-D and 3-D Artists who specialize in self-made Anime, Cosplay or Fandom related merchandise.

  • T-Shirts
  • Hats
  • Cosplay & Cosplay Accessories
  • Bags
  • Bookmarks
  • Prints
  • Cards
  • Games
  • Plushies
  • Etched Glass
  • Chain Mail
  • Pins
  • Buttons
  • Posters
  • Face Painting
  • FDA Compliant Bath & Body products, including but not limited to: Lotions, soaps, body oils, and perfumes
  • Foam Cosplay Props*

NOT ALLOWED in the ARTIST ALLEY:

  • Food and Drinks, this includes prepared or packaged food and drinks.
  • Store Bought or Wholesale Merchandise
  • Metal or Wooden Weapons (This includes any Cosplay Props that DO NOT meet the Convention weapons policy)
  • Flammable items, including but not limited to chemicals and candles.
  • Convection Ovens
  • Airbrushes
  • Irons (for pixels-any custom pixels must be Ironed outside of Artist’s Alley due to Fire Hazard)

10. Display Materials:

All displays must be sturdy and Secure. They must be on the top of your table with the exception of a Backdrop set up 3ft behind the table. At no time are free standing displays allowed to be placed in front of, or to the side of any table. Exceptions can be made in regards to clothing racks, so long as they do not present a safety risk and have been approved by Artist Alley staff prior to being setup. Any displays that fall over, or are deemed to be unsafe by Convention Staff must be removed.

Displays must not exceed 10 feet in height from the ground (7 feet above the table) or 12 feet from the ground for booths

11. Refunds:

Tables: Tables are not refundable. Before you purchase your table you must be absolutely certain you will be able to attend or be okay with losing the money. Table transfers to other artist may occur but will be decided on a case by case basis.
Badges: Badges under certain circumstances can be refunded, transferred or deferred to the 2021 convention. For info regarding badges  please email registration@animenext.org.
In extreme cases you may be eligible for a refund. Your refund will be in the form of a physical check that will be mailed out after the convention no matter when it was approved.

Repercussions for breaking any of the above Rules:

1st offence–Warning in Writing: You will be given conditions and a time frame with which you must comply. This may be, but is not limited to removing all offending material from sight and never displaying it again, etc.

2nd offence–Eviction from Artist Alley: If you have already been given a written warning and you have not complied in the time frame given, put the offending material back on display or broken another rule, you may be evicted from the Artists’ Alley without refund.

3rd and Final Offence–If you are found trying to or have convinced another artist (whether knowing or unknowing) to help you sell the material you can no longer even set up, having already been evicted from your own table, you will henceforth be banned from the AnimeNEXT Artist Alley. Artists found selling the removed artwork will get a warning and/or could also be evicted and banned.

Repeat Offenders: If you have been evicted from the Artist Alley once, you will have a chance to redeem yourself the next year. If you end up being evicted from the Artist Alley a second time, you will be Banned permanently from the AnimeNEXT Artist Alley. Evictions do not have to happen in consecutive years, any and all evictions count towards your two chances.


Though the AnimeNEXT Artist Alley staff retain the right to make instantaneous changes to the Artist Alley policies, every effort will be made to extend artists the courtesy to make announcements of any changes.

As a reminder the Artist Alley staff will consistently monitor and patrol the Artist Alley for policy and rules violations. Any and all observed and reported violations will be acted upon. A single violation of the convention and Artist Alley rules and policies can potentially result in the artist being removed from the Artist Alley and the convention at the discretion of the Artist Alley staff. If an individual is removed, they forfeit all fees and will receive no refund for their table or membership. Additionally, for the safety of the Artist Alley staff, conversations between yourself and the Artist Alley staff may be recorded.
